Meeting Minutes

Present: Claire Moorhead, Joe Denning, Chief John Clark, Barbara Greenwood, Elizabeth Corrow, Chief Norm Skantze, Maggie Fellows, Stefanie Phillips, Sue Marchand, Leslie Dion

Thank You Notes: We need to send out thank you notes to the sponsors, Touch a Truck group, Beth Colby and Donna Quinn, Marla Wall, the National Guard, Steve Favorite, Janice DellaCroche and Salmon Press. (I can’t remember who was doing this – does anyone know?)

Sponsor Certificate: Claire has prepared a certificate for Bristol Shop N Save. It was agreed that this should be done. Elizabeth, Les and Claire will meet with him to do a picture for the newspaper.

Budget: Les reports that she is still waiting for a few bills to finalize this but it looks like we brought it in with $400 to spare.

Advertising: Franklin Savings Bank did not get into the ad for the newspaper. They sent it in late and Les faxed it up to the paper but they didn’t put it in. She will contact FSB about this.

Evaluation: The following suggestions were offered:

Chief Clark said he would like to see the closure of North Main Street listed on all advertising. This should really be put in all info that goes out.
We should also include where there will be handicap parking.
Barb suggests putting an ad or Letter to the Editor in the paper thanking everyone for sponsorship.
Have two lines for the Lobster & Chicken supper. Do servings at 5:30, 6:00 and 7:00 pm
There were fabulous comments about the “Touch A Truck” event. It was agreed that it would have had many more participants if the weather was not so hot.
We need to set up a handicap parking area and possibly pick people up in golf carts. John suggests the public parking lot in front of the bank. Les said the tennis court area might work as well.
Have a big sign at the park listing all events.
Elizabeth suggested more competitions for the kids.
Should we bring the softball game back during the day? Joe suggests doing something similar to the Harlem Rockets fundraiser where they come in and play the local team and it raises money.
Les said the auction drew a big crowd the year we did that.
A Military Encampment was also suggested.

Parade: We discussed having the parade line up at FNOK next year and use the same route as the 4^th of July. Greg Gorski had suggested that we could do the registration for the Antique cars at Shop N Save to bring people out that way. Claire asked if we should consider changing the parade time to morning. That would bring more activity to the park in the AM. We also need to have a banner for the Parade Marshall’s car.

Vendors: It was suggested we have the vendors park their cars in the BES parking lot that day. John suggested we could also park at the old Cricenti’s parking lot and have access to the park from there. We think that a rock would have to be moved and a gate installed which would help with overall access for emergency vehicles. We will need to check with Jeff Shackett on this. Norm suggested using a small trolley like GLIDA has for the day. It was agreed that this would be a great idea. We need to find out a price and see if we could get a sponsor.

Other:

It was suggested to change the start time of Old Home Day. We could have the parade at 10:30 am. The crafters would need to be set up at 11 am. We could do three seatings for the dinner starting at 5:30 pm or earlier.
Claire suggests a nomination process for a ‘Citizen of the Year’ and have them be the Parade Marshall.
Elizabeth said that if they continue to do the dinner for the employees it would be nice to have some way for them to interact better at the event. Could we do a specific time for activities for them?
We need to find out if the pony rides were charging. A citizen expressed concern to some committee members regarding the costs for some of the activities. They felt that some kids could not participate due to this.
