Meeting Minutes

Present:  Claire Moorhead, Chief John Clark, Steve Favorite, Barbara Greenwood, Leslie Dion

Vendors:  John has spoken with Jeff Shackett regarding making an opening behind the Liquor Store building for access to Kelley Park.  He is willing to work with us to do this.

  We need to figure out how to attract more vendors.  It was suggested to do single line ads in the newspapers early on to get the word out.  We also need to remember to not put any fabric vendors near the food vendors.

Thank You Notes:  Claire has been working on these.  Les will do Janice DellaCroce and follow up with FSB.  She will let them know that we can give them a double ad next year to make up for their lack of ad this year.  We need to ask Kathleen if we can do a thank you in the Voice for all of our sponsors.

Budget:  Les said that she reported to Elizabeth that we brought the budget in with $400 to spare.  She then received an e-mail from Joe Denning that said we still owed Mary Maguire $200.  Les did not think that she had ended up playing due to the weather.  We will check with Joe when he returns. 

  Claire suggests printing t-shirts with a great logo months ahead and if people wear them the day of the event they get something for free.  It was agreed that this is a great idea.  This needs to be added into the timeline.  This will help us raise money earlier for the event.

Sponsors:  We need to get the sponsor letters out in May or June.

Other:

• Put checkerboards, cribbage, games on the tables under the tent so that people can sit and play during the day.
• Get the tents that will let wind flow through them in case of high winds.
• Get the marathon craft fair list from Sherry Hockersmith.
• Put a postcard out to all students before they get out of the school with ‘save the date’ info.
• Put together an Emergency Plan in case of bad weather.  We might be able to have a school bus or two available in case we need to move people quickly.  Leave some tables set up at the TTCC for people to move to during the dinner.
• Discuss the suggestions that were offered about a concert series, military encampment and fireworks.  The consensus seemed to be that fireworks will not work for this event.
• We still need to do the picture with Bristol Shop N Save.

Claire will meet with Elizabeth to wrap up and we will then set the timeline for next year.
